02Information we collect
We collect enquiry details such as name, phone number, email if provided, destination, programme or course of interest, academic or professional status, message, website language and referring page; communications and appointment details; and, only when an enrolment file is opened, identification and passport documents, certificates, transcripts, photographs, and admission, visa, residence, travel and accommodation information. We may keep agreements, invoices and payment status. Technical data may include IP address, device and browser type, request times, and security and error logs. Subject to your choice in the consent tool, browser session storage may keep a marker that the opening animation was shown and limited visit-source details, such as channel or campaign, QR code, referring website and the first page on the website. Visit-source details are not sent to us during ordinary browsing. If you send an enquiry, and to the extent you consented to this storage, they are attached to the enquiry and kept with it in monday.com.
03Purposes and legal bases
We process information to answer an enquiry and take steps at your request before a contract; perform a service agreement and manage admission, visa or course services; comply with legal and accounting duties; protect the website, prevent fraud and spam, manage disputes and improve service under balanced legitimate interests; and send marketing only with separate consent or another lawful basis. Where processing relies on consent, you may withdraw it for the future at any time.
We use visit-source details to manage the enquiry, understand how enquirers reached us and measure the effectiveness of our advertising and information channels. We do not use these details for personalised advertising, to build a profile of the visitor or to track them on other websites.
04Whether information is required
You are generally not legally required to submit an enquiry. A name and working contact method are necessary for us to respond, and specified documents are necessary to open a file or perform a requested service. Without necessary information, we cannot respond or provide the relevant part of the service. We will identify any field required by law or contract at collection.
05Recipients
We may share the minimum necessary information with technology providers acting for us, including Cloudflare, monday.com, Google Workspace and WhatsApp when you choose it; your selected university, institution or course provider; visa, immigration, residence, consular and other competent authorities; accommodation, reception, translation or support providers engaged for your file; professional advisers under confidentiality; and an authority where disclosure is required or permitted by law. We do not sell or rent personal information for marketing lists.
06International transfers
Information may be processed in Israel, Moldova and other countries where service providers or organisations you select operate. Transfers from Israel use a permitted ground and suitable written safeguards under the Israeli transfer regulations. Where Moldova law applies, we rely on an adequacy decision, contractual safeguards or another permitted mechanism and protect onward transfers. You may ask the privacy contact for information about destinations and available safeguards.
07Cookies and similar technology
The website does not use advertising cookies or advertising trackers.
Subject to your choice in the consent tool, we use browser session storage to remember that the opening animation was shown and to keep, for the duration of the page session, limited visit-source details such as channel or campaign, QR code, referring website and the first page on the website. Information in session storage is deleted when the page session ends, usually when the tab or browser window is closed.
Visit-source details are not sent to us during ordinary browsing. If you send an enquiry, and to the extent you consented to this storage, they are attached to the enquiry and kept with it in monday.com to manage the enquiry and measure the effectiveness of our channels, under the retention period that applies to the enquiry.
Subject to your choice in the consent tool, we use Cloudflare Web Analytics to measure website performance and aggregate usage statistics. According to Cloudflare’s documentation, this service does not use cookies or localStorage for analytics and does not track users over time. We receive aggregate data and do not use the service to identify visitors.
Your choice in the consent tool, whether accept or reject, is kept in browser localStorage for up to six months from the date of the choice, to respect your choice and avoid showing the banner again on every visit. The choice may be deleted earlier if you clear the website’s data in your browser or use private browsing. You can change it at any time through the “Privacy preferences” link at the bottom of the website.
Fonts are hosted on the website’s servers and are not loaded from Google. If non-essential tools are added, we will update this policy and enable an appropriate consent mechanism for them before use, where required by law.
08Children
A minor may submit a limited general enquiry, but should not send a passport, certificate or sensitive information through the general form. Before opening a file, entering a contract or making a material decision for a person under 18, we require parent or guardian involvement and consent and carry out reasonable verification. Where Moldova law applies and consent is the basis for an online service offered directly to a child under 14, consent or authorisation must come from the legal representative.
09Retention
- Enquiries that did not become a service: up to 12 months after last contact.
- Service files, contracts and invoices: for the service period and up to seven years where needed.
- Identity, visa and education documents: deleted or returned sooner when no longer operationally needed.
- Security logs: up to 12 months unless an investigation requires longer.
- Consent or objection records: while needed to demonstrate compliance.
We keep information only as long as needed for its purpose, a legal duty or the defence of claims:
10Security
We use technical and organisational measures proportionate to the risk, including access controls, suitable authentication, encryption in transit where available, backups, updates, confidentiality, supplier oversight and incident response. No system is completely secure. We assess incidents and notify authorities and affected people within legally required timeframes. When retention ends we securely delete or anonymise information.
11Your rights
Depending on applicable law, you may request confirmation and access, correction, deletion or restriction, object to certain processing, receive portable data, withdraw consent, and obtain information about recipients and transfer safeguards. Rights may be limited by law, other people’s rights, or manifestly unfounded or excessive requests. We may reasonably verify identity and will respond within the legal period.
You may also complain to the Israel Privacy Protection Authority or, where relevant, Moldova’s National Center for Personal Data Protection, without limiting a judicial remedy.
12Marketing
An enquiry is not consent to marketing. Email, message or WhatsApp marketing is sent only with separate consent where required and includes an opt-out. Opting out does not stop service communications needed for an active file.
13Updates and contact
We may update this policy for legal, service or supplier changes. We will publish the new text and date and provide notice or seek renewed consent when required. Contact info@edugate-group.com or 053-362-9230.
